Supporting Administrative Modernization, FTUI Holds Archives Training with the UI Archives Office

Updating administrative regulations and modernizing the use of technology in administrative services is one of the concerns of the Faculty of Engineering, Universitas Indonesia (FTUI). FTUI S Building (20/06/23).

This coverage was attended by unit and department secretaries within FTUI, including leadership secretaries, unit secretaries, and department secretaries. This training was opened by Prof. Ir. Mahmud Sudibandriyo, M.Sc., Ph.D., Deputy Dean for Resources, Ventures and General Administration, and Tikka Anggraeni, S.Sos., M.Sc., CPR., Manager of Public Communications and General Administration.

Prof. Ir. Mahmud Sudibandriyo, M.Sc., Ph.D., opened this training activity by saying in his speech, “In this Faculty of Engineering, because of the internationalization and modernization of education, of course, there have been many official documents, especially those in English. For this reason, Training on the Creation and Filing of Official Documents needs to be carried out so that the Human Resources have skills in managing a manuscript, in this case, in English.”

Then, remarks were also delivered by, Tikka Anggraeni, S.Sos., M.Sc., CPR., Manager of Public Communication and General Administration, “As a form of support for the 11 Leading Programs of the FTUI Dean 2022-2026, namely Internationalization and Modernization of Education, of course, there will be more and more foreign students, foreign guests, and also the internal mobility movement of FTUI, both lecturers and students who go abroad. Usually, English language documents are needed to support this. However, it turns out that there is no uniformity in making official documents in English within FTUI. So, with this training, it is hoped that in the future there will be uniformity in official scripts and proficiency in the creation and filing of official scripts.”

The first session took place with enthusiastic participants, material regarding the Arrangement of Official Documents in English was presented by the Resource Person, Archive Development and Service Staff of the UI Archives Office, Agustinus Bayu Setiawan, S.Hum., “Training on Creation and Filing of Official Documents, especially in English as an It is important to support the Internationalization and Modernization of Education within FTUI because the organization of archives must be by archival principles, rules and standards, as well as by applicable laws and regulations. This is done to achieve uniformity in archive management that is maintained within the FTUI and UI environments, as well as ensuring the availability of information for reporting purposes and as evidence of accountability,” he said.

Met on a separate occasion, the Dean of FTUI, Prof. Dr. Heri Hermansyah, S.T., M.Eng., IPU said, “Through this Service Manuscript Creation and Filing Training it is hoped that it will improve FTUI’s human resources, especially secretaries for leaders, units and departments. To have more skills in terms of management and filing of official documents, especially in English by the rules and regulations that apply in the UI environment.

Several points were conveyed in the material presentation session in the first session, namely regarding the types of UI official scripts and the rules for writing UI official scripts in English. In this first session, the participants were also directed to practice writing official documents using English. The participants were grouped and compiled official documents with different themes.

The second session was followed by the presentation of material regarding the Filing of Official Manuscripts by Dwi Tirto Kuncoro. Some of the material presented in the presentation in this second session, namely regarding procedures for filing official documents including the process of checking, indexing, coding, cross-pointing, labelling, archive arrangement, and archive lists. Then a filing practice session was carried out.
