Fakultas Teknik Universitas Indonesia (FTUI) Established a Task Force to Develop an Integrated Lost and Found System

The Fakultas Teknik Universitas Indonesia (FTUI) held a Coordination Meeting and officially formed the Lost and Found System Development Team on Monday (09/02) at the DGB Room, FTUI Dean’s Office Building. The meeting was led by Prof. Dr. Ir. Akhmad Herman Yuwono, M.Phil.Eng., and attended by faculty leaders and supporting team members involved in system development.

In his remarks, Prof. Herman emphasized that innovation within FTUI must continue to evolve, including through the strengthening of digital-based services. The Coordinator of P5, Nyoman Suwartha, explained that the development of an integrated Lost and Found System represents one of the innovations aimed at improving service governance within the faculty.

“The Lost and Found System is not merely an administrative service, but part of our broader effort to build a culture of order, transparency, and technology-driven governance at FTUI. I hope the system will be designed in an integrated and user-friendly manner, with clear governance mechanisms, so that it can truly benefit the entire academic community,” said Prof. Herman.

Currently, the management of lost and found items is handled separately by each unit, which may result in delays in information dissemination and difficulties in tracking items. Through an integrated system, all lost and found data will be managed within a single platform that is easily accessible to the academic community. This initiative aligns with FTUI’s commitment to strengthening governance, advancing digital transformation, and developing an Integrity Zone in line with WBK/WBBM standards.

During the discussion, it was agreed that the system interface would adopt an engineering-themed design aligned with FTUI’s identity. Key aspects, such as user-friendliness, technical stability, and the option to implement Single Sign-On (SSO) or provide public access for reporting, will be further examined. For found items, photographs will be displayed directly within the system to facilitate identification.

In addition to platform development, the meeting also addressed the need for a dedicated storage space for found items, standardized labeling (including date and location of discovery), and clear procedures for items that remain unclaimed after a certain period.

From a security and communication perspective, a coordination group will be established involving class representatives and security personnel. Valuable items will be promptly reported to the Chair of the Student Association to expedite the return process.

FTUI will establish a system development team involving students and internal faculty members. A follow-up meeting will also invite the IT Team and Logistics Team to ensure technical readiness and the availability of supporting facilities.

Through this initiative, FTUI hopes that the integrated Lost and Found System will become an effective, transparent, and accountable digital service, while further strengthening a culture of order and mutual care within the campus community.
