The forum opened with remarks from Prof. Dr. Ir. Yanuar, M.Eng., M.Sc., Vice Dean for Education, Research, and Student Affairs, who stated, “Archiving is a crucial pillar in the management of information and knowledge within an educational institution. In this digital era, archiving presents increasingly complex challenges and opportunities. Through this forum, we aim to discuss various issues related to archival management and efforts to enhance archival quality at FTUI. I hope this forum can inspire and strengthen our commitment to improving our archival management practices.”
“This Archivist Communication Forum is a regular initiative designed as a communication platform between faculty archivists and central archivists. Through this forum, we hope to strengthen cross-faculty collaboration. The forum is not intended to foster competitiveness between faculties, but rather as an opportunity for mutual support. We see many aspects of archival management in one faculty that can serve as references and be adapted by other faculties,” explained Wahid Nurfiantara, S.Hum., M.T.I., Head of UI Archive Office.
FTUI Dean Prof. Dr. Ir. Heri Hermansyah, S.T., M.Eng., IPU., expressed, “This forum is an important step in improving our understanding and ability to manage archives effectively. Good archival management not only supports administrative activities but also serves as a vital foundation in decision-making and strategic development within our faculty. By sharing best practices, I hope we can strengthen collaboration across units in optimizing archival management, thereby contributing to improved performance and transparency within the Faculty of Engineering. Let’s seize this opportunity to learn from one another and innovate in archival management moving forward.”
The event was divided into two sessions: a sharing session and a tour of the Faculty of Engineering’s archive storage rooms. The sharing session was led by Aisha Rachman and Nourma Yunita, FTUI’s archival staff, who presented “Best Practices in Archival Management and Development at FTUI.” In this session, Aisha Rachman elaborated on FTUI’s archival management processes, including the transfer of documents to the Documentation Center (Pusdok) and the input of documents into the ARTERI system. This process is designed to ensure efficient and systematic archiving, making all important documents easily accessible and managed in line with applicable archival standards.
Nourma Yunita, meanwhile, explained the importance of archival training at FTUI. To enhance archival management across various units, the FTUI archival team provides training to secretarial staff in each unit. Additionally, unit visits are conducted to ensure that the archival management system aligns with established standards. This session aimed to share best practices in archival management and encourage efficient archiving practices within UI.
The forum concluded with a participant tour of the archive storage rooms, located in various FTUI departments and at the FTUI Documentation Center. Participants displayed high enthusiasm during this visit, as it offered them the opportunity to observe and discuss the active file management in departmental archives and the inactive file management at the Documentation Center. Through this visit, participants gained insights into the document storage, transfer, and archiving systems implemented at FTUI.
