Starting with a coordination meeting of the FTUI internal audit team consisting of representatives from departments, units and K3L, preparations for external audits have started since June. UPMA, in collaboration with the team, began to compile a series of internal audits to rearrange the existing POB within the UI Faculty of Engineering before later facing external audits. This is because the UI Faculty of Engineering has changed management for 2022-2026 and requires renewal and creation of POBs that have been adapted to FTUI’s new management structure.
Before the internal audit series began, the audit team attended awareness training on ISO 9001:2015, ISO 14001:2015 and ISO 45001:2018. Then each unit/department is assigned to remap the existing or newly owned POB. After the POB mapping is completed, the internal audit team reviews the POB before it is finally finalized and ratified. The series of internal audits took place from August to early October.
The end of the internal audit series indicates that the preparation for the external audit has reached its final stage. Through 2 stages, phase 1 external audit was carried out on October 13 and phase 2 was carried out on October 19-21 2022. Phase 1 external audit was opened with a meeting and discussion with FTUI management leaders in Makara room 04 Smart Meeting Room. In stage 1, the meeting focused on briefings regarding the preparation of external audit supporting documents. Then in stage 2, audits were carried out on all FTUI units/departments to test the feasibility of obtaining ISO 9001:2015 certification and maintaining ISO 14001:2015 and ISO 45001:2018 certification.
The auditor team with members Annas Sangadji, Markus Dihanto, and Hariadi Alim under the DQS Certification Indonesia agency then conducted an audit of each FTUI unit/department for 3 days. After the audit was completed, the phase 2 external audit series was closed on October 21 with the reading of the audit results. At the end of the series of audits, the UI Faculty of Engineering was declared successful in obtaining ISO 9001: 2015 certification and was eligible to maintain ISO 14001: 2015 and ISO 45001: 2018 certifications with several notes on suggestions for improvement.
“It is hoped that the ongoing external audit will continue to be able to maintain and improve. Then in the future it should be remembered that we are not only pursuing certificates, but also how we can continue to implement audit results within the UI Faculty of Engineering,” said Dean of FTUI, Prof. Dr. Heri Hermansyah, ST., M.Eng., IPU.
Prof. Winarto, Head of Academic Quality Assurance Unit and the person in charge of internal and external audits, expressed his gratitude to all parties involved in the audit process. “I would like to thank all members of the community, starting from faculty leaders, departments, heads of managers and units, as well as coordinators and others. Thank you for your commitment and time to prepare POB and so on so that this audit can run well in a relatively short time.”
